Looking to make a difference with a non-profit organization? A local Beamsville organization is currently seeking a Program Office Coordinator to join their team.

This position is part time, 25 hours per week 9:00-2:00 Monday to Friday with some remote flexibility possible.

Duties:

Major Activities:

  • Provide office assistance and support to the Executive Director and Team and provide support services to others connected with the organization as required
  • Assist with the preparation of material for training courses when required
  • Assist with the navigation and statistic reporting of monthly statistics for the organization through the data base program
  • Lead daily office organization and coordination
  • Ensure data files are backed up daily and inventoried on a monthly basis
  • Liaise with computer technician as required to keep all IT needs functional for the organization
  • Maintain a familiarization with office equipment, and ensure the integrity of equipment
  • Ensure all office supplies are maintained, in stock and inventoried
  • Ensure all office files are kept in an orderly manner
  • Maintain Gmail accounts and calendars are kept up to date
  • Maintain distribution lists, and assist in the delivery of event announcements
  • Assist in the overseeing of the organization’s library, ordering books and maintain book lending list
  • Purchase office supplies as required after pre-approval from ED
  • Record donations, prepare thank you letters and charitable receipts for ED signature
  • Provide monthly reports on all donations and financial interactions pertaining to donations
  • Prepare mailing of donation letters, track and monitor results of the campaign
  • Prepare reports on giving campaigns for the Board of Directors
  • Prepare and perform bank deposits as required, submit report to ED and BOD treasurer
  • Maintain, balance and prepare petty cash requests
  • Assist with the planning and implementation of social, promotional and fundraising events
  • Participate on the fundraising committee, acting as secretary providing minutes of meetings
  • Gather and collate information and wares for promotional events, and ensure printed materials are kept up to date and replenished as needed
  • Help design layouts for advertising and promotional material
  • Actively attend meetings where needed and scheduled
  • Provide written agendas for all meetings, take and maintain minutes for review and approval, and final distribution to committee members
  • Manage and update organizational Website, Facebook and all social media outlets as required
  • Annual participation in archiving of files
  • Maintain record of keys and security list, equipment inventory and asset distributions and monitoring
Requirements:

Employee Requirements:

  • The ideal candidate will have a background in Business Administration support and management services, and is committed to providing an excellent customer service experience to our stakeholders
  • Familiarity with health care industry, with particular awareness on palliative care and life limiting services is an asset
  • Must be proficient in Microsoft Office, and have a willingness to learn new programs as necessary
  • Service oriented with strong interpersonal and organizational skills
  • Work efficiently and effectively while in the office or virtually
  • Willingness to take related training

Two weeks paid vacation after the first year of employment.

All employees part and full time will receive WSIB coverage.
