The Wayne Schilstra Team is looking for the right person to fill the role of Team Administrator.
This is a full time position of approximately 40 hours per week (9 am – 5 pm) with some extra hours required from time-to-time to assist in special events such as fundraisers, client appreciation events, plus the odd evening or weekend to process time sensitive listings and documents. The administrator shall work from the Wayne Schilstra
Team office (also known as HeadQuarters) located at 175 Griffin Street North, Smithville and shall be provided a 2019 Macbook Pro for which the majority of the work will be completed as well as all programs, supplies and equipment required to perform duties.
- Professional appearance
- Host clients/colleagues who visit the office for meetings by preparing and
offering refreshments, etc. - Regular cleaning and overseeing maintenance of the office
- Put out recycling and garbage weekly
- Keep steps and walkways clear of snow and ice in winter and swept clean in
spring, summer and fall - Process paperwork, digital filing, entering data, submitting files to the brokerage office, and updating all files as necessary
- Upload listings to MLS systems, and communicate with Brokerage to ensure listing documents are in order
- Work closely with and provide support to the licensed Realtors on the team
- Track and submit hours worked to payroll
- Record and submit receipts and invoices
- Maintain and regularly update running spreadsheets as required
- Prepare any outgoing mail including purchasing postage
- Maintain office machines including, Canon paper printer, 54” latex vinyl printer, and 54” plotter cutter
- Provide technical support to team members
- Monitor office supplies, and printing material updating inventory as required
- Manage connectivity contracts (internet, hardware/software, website, etc.)
- Maintenance, troubleshooting and solving technical problems relating to hardware/software, business machines
- Responsible for website maintenance, and updating the blog with new listings
- Maintain social media presence on Linkedin, and Google profile
- Assist marketing and operations department as required
- Function as primary administrative support to the Team Leader e.g. assisting with team meeting preparation
- Plan, coordinate and attend special events, liaising with other businesses/community organizations to ensure booking and logistics run smoothly
- Coordinate with print facilities and suppliers and track production delivery time
- Create flyers, feature sheets, and print marketing materials on request
- Maintain brand standards and quality across all advertising channels
- Record details of any task that is repeatable within the team
- Maintain job description document
- Conduct general research on products and services to determine cost/benefit and viability for the team
- Maintain real estate signs and sign hardware
- In-house design and printing of material for billboards, riders and signs
- Maintain backups and hard drives
- Assist Wayne in any daily tasks as requested
- Post-Secondary or equivalent combination of education and experience
Experience/Skills:
- Strong analytical and writing skills
- Effective working as a team member and independently
- Attention to detail and a high degree of accuracy; high level of accountability
- Sound analytical thinking, planning, prioritization, and execution skills
- Able to effectively communicate both verbally and in writing
- Statistics gathering, analysis and report generation
- Working knowledge of PC, Mac, Android, and iOS platforms
- Working knowledge of spreadsheets
- Working knowledge of the Adobe suite, including Adobe InDesign, Adobe Illustrator, and Adobe Photoshop
- Punctual and present during working hours, answering emails
