Part Time Office Administrator – #7438 – A
The overall responsibility of this position is to provide part-time administrative and clerical support to our team of health professionals fitting with the exceptional quality of care for which the Clinic is known.
Responsibilities of this position include but are not limited to:
- Ensuring optimal patient care through friendly, enthusiastic, and professional service with all patients and team members
- Professional, friendly and timely: answering of telephone calls, responding to e-mails and voicemails, greet patients and visitors and providing excellent customer service for all questions or concerns
- Coordinating a detailed and accurate intake of information on the patient’s first visit to the Clinic
- Using electronic medical record (EMR) files and coordinating the scheduling of appointments for patients in accordance to their coverage and injuries
- Registering new patients in line with acceptable standards of the Clinic; this includes supporting patients in filling medical forms at the Clinic to avoid errors and inaccurate information
- Operating point of sale (POS) transaction terminal for accepting cash, credit, and debit payments
- Completing accurate clinic billing and following up on accounts receivable as required; this entails invoicing and collecting through online billing portals (Telus Health and Provider Connect)
- Producing accurate end of day reports
- Writing up duties to be followed up on in Clinic’s communication book and checking book regularly to make sure items have been completed and initialing and dating when tasks are completed
- Preparing new patient charts – to be kept in time and calendar date order
- Faxing assessment, progress, and discharge reports to doctors
- Scanning diagnostic reports in to Practice Perfect
- Scanning charts and set up a system for timely deletion or shredding of files
- Checking e-mails and respond appropriately and on the same day
- Checking voicemails and return calls on the same day
- Assisting with laundry as required
- Making sure forms are stocked in drawer and forms that have highlighted areas are actually printed
- Monday: printing fall-off report and call patients accordingly
- Tuesday: printing AR report and manage accordingly
Qualifications/experience:
- Previous experience as a Medical Office Administrator in a Physiotherapy clinic would be an asset
- Excellent communication (oral and written) and interpersonal skills to maintain effective rapport with patients and staff members
- Reliable and have some flexibility with hours
- Solid Computer skills required in Word, Excel, Outlook and medical scheduling software
- College Diploma or certification in Office Administration or relevant experience would be an asset
- Ability to exercise good judgement, be resourceful, and possess strong organizational skills
- Ability to investigate, understand, and resolve issues that arise from billing, collections and multiple funding sources
- The ability to remain “cool” and collected in high pressure or fast paced situations
- Able to adapt to change with clinic operations to continuously learn strive for improved patient care
