The Client Care Service Representative/Administrative Assistant is responsible for maintaining up to-date financial information (i.e. term deposit rates) communication with Advisor to ensure all client needs are met in a timely manner and maintain accurate and up-to-date client files.

Duties:

CLIENT CARE SERVICE DUTIES

  • Working directly with client Advisor to respond in timely manner to ensure full resolution to all issues and concerns related to investment clients
  • Maintain a documentation trail while resolving all issues with regards to investments
  • Assist plan administrators with their queries and/or concerns as to the group retirement plan
  • Keep advisor advised of all issues and/or concerns

ADMIN SUPPORT DUTIES

  • Assist with the setting up of client meeting appointments for advisors
  • Responsible for all filing, data entry and maintaining client lists

Client Meeting Preparation for Advisors:

  • Ensure all files and appropriate documents are in place with current information and prepare meeting agenda with advisor
  • Provide advisor with current portfolio summaries - as needed
  • Acquire current rates for term deposit products (both bank and insurance suppliers)
  • Communicate with life insurance admin support for copies of insurance documents
  • Review of documentation for accuracy as directed by advisors

INVESTMENTS

  • Initiate follow up procedures on all outgoing documentation and record follow up action
  • Provide advisor with up-to-date status reports of all actionable items on a regular basis
  • Assure that all funds are directed to the appropriate destination in a timely manner
  • Develop a working knowledge of group investment products including the Capital Accumulation
  • Guidelines (individual and group)
  • Develop a working knowledge of insurance products
Requirements:
  • Bilingual in French and English is preferred but not necessary
  • Proficient in Excel, Word and a working knowledge of data base systems
  • Strong attention to detail
  • Excellent interpersonal skills
  • Exceptional time management skills
  • Knowledge of the insurance Industry is not necessary but is an asset
  • Post-Secondary Education in a related field
  • 35 hr work week
  • Benefits and access to retirement plan after probation period
